Custom ERP Development

Custom ERP & Operations Software Development

ETREXIO is a software studio based in the United States and Türkiye that builds custom ERP and operations software: order management, CRMs, quoting engines, dashboards and workflow systems that replace spreadsheet chaos. Two senior builders lead a human-in-the-loop AI workforce, supported by our in-house products DigiSapiens and StackWatch. We have shipped 50+ products, hold a 4.7 rating on Clutch, and our average client stays 5 years. Retainers start at $5,000 per month and cover design, development, deployment and 24/7 operation.

Every growing company hits the same wall: the spreadsheet that runs the business becomes the thing that limits the business. Orders live in one tab, inventory in another, the truth in someone's head. Off-the-shelf ERP suites solve this for companies willing to reshape their process around the software; most growing companies are not, and should not be. A custom ERP flips that: one system, shaped like your actual workflow, that everyone works in, without the re-typing between ten disconnected tools.

The payoff is not abstract. Across our client base, custom ERP and operations systems we built have replaced the workload of 40+ hires: a solar company running with a 15 percent smaller team, a print business that eliminated four staff roles, a nonprofit where 4 to 5 people now run an operation that used to need more than 10. The pattern repeats because the mechanism is simple: software does the routing, checking and chasing that people used to do by hand.

What makes our systems different from a typical internal-tools project or an off-the-shelf ERP rollout is that they do not rot. We operate what we build, on retainer, with StackWatch reading the logs 24/7 and DigiSapiens staffing incidents. When your process changes, the ERP changes with it. That is why the average client stays 5 years instead of quietly reverting to spreadsheets.

How it works

From spreadsheet chaos to one system.

01 · Mapping

We map the chaos first.

Before writing code we trace how work actually flows through your team: the spreadsheets, the group chats, the manual handoffs, and the places money leaks.

02 · Platform

One system instead of ten tools.

A custom ERP built around your process, not the other way around: order and inventory management, CRM, quoting, scheduling and reporting in one place.

03 · Automation

Fewer hands per transaction.

AI-assisted steps handle the repetitive work, with human approval where it matters. Systems we built have replaced the workload of 40+ hires across our clients.

04 · Operation

Watched around the clock.

StackWatch monitors every log line 24/7 and DigiSapiens staffs incidents with AI engineers, so your ERP never becomes another thing to babysit.

How we approach it

How we replace a spreadsheet stack with a custom ERP, without stopping the business.

Operations cannot pause for an ERP project. Every rollout we do keeps the business running while the system takes over piece by piece.

  1. Shadow the real workflow.

We sit with the people doing the work and trace one real order, donation or quote end to end. The gap between the official process and the actual one is where the platform earns its keep.

  2. Retire the most painful spreadsheet first.

We ship a usable core in weeks and move one workflow into it completely, so the team feels the relief early and trusts the next migration.

  3. Connect the systems that never talked.

Accounting software, legacy ERPs, payment providers, e-commerce channels and messaging tools get wired into the new system. Integrations are usually where the biggest time savings hide.

  4. Automate with approval gates.

Repetitive steps become automatic; judgment calls stay human. Quotes calculate themselves, status updates send themselves, and a person signs off only where a mistake would be expensive.

  5. Operate and evolve on retainer.

The ERP goes under 24/7 StackWatch monitoring and keeps changing as your process does. Continuous improvement is inside the retainer, not a change-request negotiation.

Real work

Custom ERP and operations systems doing real work today.

Three companies, three countries, the same outcome: fewer hands per transaction and an operation that survives audits.

AYV / Europe Aid Foundation · Netherlands

From WhatsApp certificates to an audited operation.

The foundation ran donations manually, down to certificates sent over WhatsApp. We built an end-to-end donation platform and mobile app with saved cards enabling recurring giving. The donation pool roughly doubled, and the operation passed a detailed Dutch government and ING bank audit on the strength of the system's records. Today 4 to 5 people run what used to need more than 10.

GreenChoice · Belgium

Solar operations from satellite to quote.

For Özgür Gedik's GreenChoice we built a solar panel management platform that generates roof layouts from satellite imagery and turns them into online quotes. Work that needed site visits and manual drawing became a browser workflow, and the company runs with a 15 percent smaller team.

MATSAŞ / Pressifly · Print

Accurate print quotes in 5 minutes.

Print quoting at MATSAŞ meant experienced staff calculating paper, waste and machine time by hand, and customers calling for status. Pressifly, the platform we built with Özgür Öğüt, produces accurate quotes with waste calculations in 5 minutes and gives every customer an order tracking link. The status calls stopped, and four staff roles were eliminated.

Questions

What operators ask about custom ERP development.

What does custom ERP development cost?

Monthly retainers from $5,000, covering design, development, deployment and 24/7 operation. One number replaces the ERP license, the maintenance contract and the on-call rotation.

How long until our team can actually use it?

We ship a usable core in the first weeks and expand from there. Most teams retire their first spreadsheet within the first one or two months.

Can it integrate with the tools we already use?

Yes. Accounting software, ERPs, e-commerce platforms, payment providers and messaging tools. Integrations are usually where the biggest time savings hide.

Do we own the code and the data?

Yes. You own the codebase, the data and the infrastructure accounts. If we ever part ways, everything stays with you, documented.

What happens when our process changes?

The retainer covers continuous improvement, so the ERP evolves with your process. That is a big reason our average client stays 5 years.

How much headcount does a custom ERP actually save?

Across our clients, systems we built have replaced the workload of 40+ hires. Concretely: GreenChoice runs with a 15 percent smaller team, MATSAŞ eliminated four staff roles with Pressifly, and AYV runs with 4 to 5 people where more than 10 were needed before.

Will a custom ERP survive a financial or government audit?

Ours have. The donation platform we built for AYV passed a detailed audit by the Dutch government and ING bank, because every transaction and approval leaves a verifiable record. Audit-friendly data design is standard in our builds.

Can you automate quoting and pricing for a complex business?

Yes. Pressifly, the print platform we built for MATSAŞ, produces accurate quotes with waste calculations in 5 minutes, work that previously required experienced staff. Rule-based pricing engines are one of our most common builds.

Our operations people are not technical. Will they use it?

That is a design requirement, not a hope. We shadow the actual workflow before building, ship screens shaped like the work, and iterate with the team during rollout. Adoption is measured, not assumed.

Why build a custom ERP instead of buying SAP, NetSuite, Odoo or a no-code stack?

Buy off the shelf if your process fits the mold. Companies come to us when it does not: per-seat licensing that scales badly, consultants required for every change, brittle no-code automations, and workflow logic no packaged ERP can express. A custom ERP pays off when the workflow is the business.
