Nonprofit Software Development & Donation Platforms
ETREXIO is a software studio based in the United States and Türkiye that builds software for nonprofits: donation platforms, donor CRMs, mobile giving apps and back-office systems, then runs them so you never need an IT department. Two senior builders lead a human-in-the-loop AI workforce, supported by our in-house products DigiSapiens and StackWatch. We have shipped 50+ products, hold a 4.7 rating on Clutch, and our average client stays 5 years. Retainers start at $5,000 per month and cover design, development, deployment and 24/7 operation.
Nonprofits carry a harder software problem than most startups. Donors expect the checkout polish of e-commerce, regulators and banks expect audit-grade records, and the whole thing must run on a small team with no engineers. The usual answer, a patchwork of donation widgets, spreadsheets and messaging apps, works until the first serious audit or the first growth spurt, and then it becomes the bottleneck of the mission itself.
We learned the shape of this problem by living inside it with AYV, the Europe Aid Foundation in the Netherlands. When we met them, donation certificates were sent manually over WhatsApp. Today they run an end-to-end donation platform and mobile app, recurring giving through saved cards, and records strong enough to pass a detailed audit by the Dutch government and ING bank. The donation pool roughly doubled, and 4 to 5 people now run an operation that used to need more than 10.
That is what nonprofit software should do: not refresh the website, but upgrade the operation, so giving becomes effortless, trust becomes verifiable, and the team's hours go to the mission instead of the admin. We build the donation platform, the donor CRM and the back office as one system, and then we operate it 24/7, because a donation platform that goes down during a campaign is a donation platform that never existed.
What we build
Technology in service of the mission.
Donation platforms that convert.
Recurring giving, campaigns, corporate matching and clean receipts, built to make giving effortless on any device.
Back office without the busywork.
Donor CRMs, volunteer coordination, program tracking and board reporting in one system instead of a dozen spreadsheets.
Transparency donors can verify.
Impact dashboards and audit-friendly records that show where donations go, strengthening grant applications and donor confidence.
Runs without an IT department.
We deploy and operate the platform 24/7 with StackWatch and DigiSapiens, so a small team gets enterprise-grade reliability.
How we approach it
How we build nonprofit software without pausing the mission.
Donations cannot stop while the system changes. Every rollout we run keeps giving open on day one and every day after.
-
Map the giving journey and the paper trail.
We trace how a donation actually travels today, from the donor's first touch to the receipt and the ledger entry. The gaps in that trail are what auditors find later, so we find them first.
-
Launch giving flows that remove friction.
Online donations, campaigns and mobile giving go live early. Saved cards matter more than any feature: at AYV they turned one-time donors into recurring ones, and recurring giving is what makes a nonprofit plannable.
-
Move operations into one system.
Donor records, certificates, program tracking and reporting leave the spreadsheets and messaging apps. Certificates that were once sent by hand over WhatsApp become automatic and traceable.
-
Build for the audit before it happens.
Every donation, disbursement and approval leaves a verifiable record by design. This is what let AYV pass a detailed Dutch government and ING bank audit without a scramble.
-
Operate it so the team can shrink the admin, not the mission.
We run the platform 24/7 on retainer, with StackWatch monitoring and continuous improvement. The staff hours freed from admin go back into programs.
Real work
AYV / Europe Aid Foundation: a deep dive.
One Netherlands nonprofit, led by Ahmet Mihmat, from manual WhatsApp certificates to an audited digital operation.
Manual everything, WhatsApp certificates.
Donation certificates were prepared and sent by hand over WhatsApp. Donor records, campaign tracking and reporting lived in disconnected files, and every step of a donation needed a person. The operation required more than 10 people, and growth made it heavier rather than easier.
An end-to-end donation platform and mobile app.
We built the full stack: web donation platform, mobile app, campaign management, automatic certificates and donor records in one system. Saved cards enabled recurring donations, which changed the foundation's giving pattern structurally: donors return without being chased, and the donation pool roughly doubled.
Audited by the Dutch government and ING, run by a handful of people.
When a detailed audit by the Dutch government and ING bank came, the foundation passed it on the strength of the system's records: every donation traceable, every certificate accounted for. Today 4 to 5 people run an operation that used to need more than 10, and we still operate the platform 24/7.
When the Dutch government and ING bank audited us in detail, we passed because of the system ETREXIO built. Every donation was traceable, every record was in place.
Questions
What nonprofit leaders ask us.
What does a nonprofit engagement cost?
Retainers start at $5,000 per month and cover the full lifecycle: design, development, deployment and 24/7 operation. We scope phases tightly so each month delivers something your donors and board can see.
Can you migrate us off our current donation tool?
Yes. We migrate donor records, recurring gifts and campaign history carefully, run both systems in parallel during the switch, and keep every receipt trail intact.
Who owns the donor data?
You do, completely. The platform, the database and the infrastructure accounts belong to your organization, with exports available at any time.
We have no technical staff. Who keeps the platform running?
We do. StackWatch monitors the platform 24/7 and our team handles updates, incidents and improvements as part of the retainer. You never hire an IT department.
How long does a donation platform take to launch?
A first version with recurring giving and receipts typically launches in 8 to 12 weeks. Larger builds run in phases so operations never stop.
Will the platform hold up under a government or bank audit?
That is a design goal from day one. The platform we built for AYV / Europe Aid Foundation passed a detailed audit by the Dutch government and ING bank, because every donation, certificate and approval leaves a verifiable record.
How do we grow recurring donations?
Make repeat giving effortless. Saved cards were the turning point for AYV: donors could give again in seconds or set recurring gifts, and the foundation's donation pool roughly doubled after the platform launched.
Can a small team really run a large donation operation?
Yes, if the software does the routing and record-keeping. At AYV, 4 to 5 people run an operation that used to need more than 10, because certificates, receipts and donor records generate themselves.
Do you build mobile apps for nonprofits too?
Yes. AYV's donors give through a mobile app we built alongside the web platform, sharing the same campaigns, saved cards and records. One system, every channel.
We still send receipts and certificates manually. Is that worth automating?
It is usually the first and biggest win. AYV went from certificates sent by hand over WhatsApp to automatic, traceable certificates, which freed staff hours and created the audit trail that later satisfied regulators.
